HP Raises the Bar for AI in the Workplace

HP harnesses Edge AI across PC, Print, and Capture Workflows

At HP Imagine 2026, HP launched its vision for the AI-enabled workplace. The most significant shift was the official launch of HP IQ, a proprietary intelligence layer designed to work across PCs, printers, and meeting spaces using local, on-device AI. By moving AI to the edge, HP is addressing the twin challenges of cloud latency and data privacy while making AI features easily accessible for users to integrate them into everyday office workflows.

Shaping the hybrid AI future

At its Imagine showcase event, held in New York in March, HP outlined its rationale for edge AI and cloud evolution, noting customer concerns about data gravity, cost, security, and strict controls slowing productivity. The company aims to reduce cloud dependence with hybrid AI, ‘delivering scalable, local compute that closes the gap to the cloud’ and enabling users to undertake AI workloads locally.

In the long term, HP predicts that AI architecture will be hybrid in nature, a seamless mixture of edge and cloud that is designed to ensure speed, performance, and security.

To support customers on that journey, HP has introduced new AI PCs, MFPs with onboard AI-powered IDP features, and collaboration solutions backed by Wolf Security and platform-based monitoring and management services.

AI-powered document workflow

HP continues to expand its capabilities around AI, comprising generative AI features on MFPs, as well as intelligent document processing (IDP) solutions such as HP Scan AI Enhanced, HP Intelligent Capture, and HP for Microsoft 365 Copilot.

HP for Microsoft 365 Copilot

Available on HP Workpath-enabled office MFPs from Spring 2026, HP for Microsoft 365 Copilot brings Copilot’s GenAI capabilities directly to the device. Managed from the front panel, it allows users to ask Copilot to automatically redact or extract PII data from scanned documents, summarise text, translate it into a selected language, detect and digitise handwritten text, and classify the document according to its contents. This deployment is part of HP’s wider One HP Copilot strategy, which aims to deliver Microsoft Copilot AI-powered productivity across PCs, professional services, and print.

An important element of this is the professional services offering, provided in partnership with specialist Microsoft consultancy Avanade, which will advise enterprises on integrating Copilot throughout their organisation in a secure, responsible, and compliant way.

HP Scan AI Enhanced

Originally launched in 2024, HP Scan AI Enhanced is a cloud-based AI solution driven from the MFP front panel. It automatically recognises documents being scanned and extracts key information, undertaking OCR/ICR, AI-based document classification and separation, error-checking, highlighting, redaction, and data-loss prevention.

Anomalous user behaviour, such as scanning sensitive documents or routing them to unauthorised locations, is automatically flagged to security teams. The solution recognises PII data and can redact it or ensure it is saved to an appropriately secure location, enabling organisations to meet compliance requirements such as GDPR, HIPAA, and PCI-DSS. HP Scan AI features are provided on a pay-as-you-use basis.

HP Document Workflow Cloud

This integrated portfolio of digital workflow solutions seeks to support productivity and accuracy. It uses HP’s cloud-native, GenAI, machine learning-powered capture platform to capture, process, and route data onward into business processes governed by HP Intelligent Workflows. HP Intelligent Workflows incorporates predictive analytics and ML-based search capabilities that allow teams to review, process, and approve business information.

The new HP LaserJet Pro 4000/4100 Series and HP LaserJet Enterprise 5000/6000 Series include some AI features. The HP LaserJet Pro 4000 series supports HP AI, which optimises document formatting, while the HP LaserJet Enterprise 5000/6000 series includes Scan AI Enhanced and editable OCR, plus access to HP for Microsoft 365 Copilot through an HP Workpath app subscription.

HP IQ: Integrating AI across the HP technology stack

A key component of HP’s AI strategy is HP IQ, a workplace intelligence layer designed to connect devices, spaces, and workflows across enterprise environments. HP IQ combines on-device AI, proximity-based connectivity, and enterprise management tools. It enables sensitive files to be processed locally on the device, providing fast and secure processing that works offline. The HP IQ Visor Interface provides an intelligent software layer that brings relevant controls, actions, and insights forward based on context, reducing the need to switch apps. HP IQ will debut on HP EliteBook X G2 Next Gen AI PCs, with management via the HP Workforce Experience Platform (WXP).

HP NearSense

HP NearSense is an AI-driven connectivity technology that enables ‘frictionless’ collaboration between nearby devices. As part of the HP IQ ecosystem, it allows computers, peripherals, and mobile devices to automatically discover and connect to each other without requiring traditional manual pairing or cloud-based file transfers.

In the context of HP’s Poly video conference room technology, HP IQ will continuously map the conference space to detect when users and devices enter the room. It will then offer them immediate facilities, from access to displays to automatic transcription and summary of discussions – all conducted locally on their PC. However, this capability is planned for future HP Poly product launches and is not yet available.

HP NearSense is expected to expand to printers and MFPs, enabling printing or scanning to nearby devices without installing drivers.

HP IQ will also deliver vast amounts of operational device data, providing real-time insights into performance, usage, energy consumption, and security posture. This will enable predictive and proactive fleet management.

HP IQ and Copilot deployments will co-exist, with IQ ultimately being built into all endpoints across the HP ecosystem. The company notes that putting AI on the edge helps reduce AI token costs, something increasingly important for cost-effective AI consumption at enterprise scale.

HP is emerging as a clear leader in the AI print industry landscape, underpinned by one of the most comprehensive and coherent AI strategies in the industry today. Rather than treating AI as a point capability or add‑on feature, HP is embedding intelligence across its entire portfolio, spanning PCs, print hardware, document capture, workflow, and management platforms. This breadth, combined with depth of execution, places HP ahead of many competitors whose AI efforts remain fragmented or narrowly focused.

A particular strength lies in HP’s maturity in AI‑powered capture and document processing. HP has made significant investments in building out its capabilities around intelligent document workflows, including OCR, ICR, classification, security, and compliance‑driven handling of sensitive information. These capabilities are now converging across its product range, moving from isolated tools into a more cohesive, platform‑led approach that aligns well with enterprise and SMB digitisation priorities.

HP’s decision to integrate Microsoft 365 Copilot directly into MFPs via HP Workpath represents a significant competitive differentiator. As the first major print vendor to bring Copilot’s generative AI capabilities to the device front panel, HP is redefining the role of the MFP within modern workflows, elevating it from an endpoint to an intelligent bridge between physical and digital information. Capabilities such as document summarisation, intelligent file naming, translation, and secure routing at the point of capture directly address longstanding productivity bottlenecks in scanning workflows while leveraging tools that users already trust and understand.

From a market perspective, this approach is particularly compelling for SMBs, which often lack the resources to deploy complex standalone document management or AI platforms. By embedding AI directly into existing devices and widely adopted productivity ecosystems such as Microsoft 365, HP lowers both the technical and cultural barriers to AI adoption. This positions HP strongly with organisations seeking pragmatic, outcome‑driven AI rather than experimental or heavily customised deployments.

MFPs are not yet part of the HP IQ universe, and because of the slower refresh rate for MFP hardware, it will likely be some time before users feel the full benefits of an HP IQ ecosystem. However, despite this, HP has established a clear advantage within the print technology ecosystem. Competitors are largely at earlier stages, either trialling cloud‑only AI features with limited generative AI features or offering narrow capture enhancements without deep workflow integration. HP’s hybrid AI approach, balancing on‑device intelligence with cloud‑based generative capabilities, offers a more scalable, secure, and cost‑effective model as AI adoption accelerates.

Overall, HP’s combination of platform vision, execution depth, and ecosystem alignment positions it strongly to lead AI innovation in the print and document sector. Its progress in unifying AI‑powered capture, security, and generative AI across endpoints reflects a long‑term strategy that demonstrates strong technology leadership.

However, realising the full value of this approach will depend on HP’s ability to clearly articulate the practical benefits to customers and ensure these capabilities are easily understood, adopted, and embedded into everyday workflows. As competitors move to catch up, HP’s early investment and integrated roadmap are nevertheless likely to translate into a sustained advantage across both the enterprise and SMB segments.
