Achieving clarity and insight from the vast quantity of unstructured data that flows through businesses is a growing area of focus for organisations as they target efficiency and productivity gains.
Intelligent document processing (IDP) solutions extract data from documents received in different formats, including hard copy, handwritten, and digital, converting it to digital formats that can be analysed and integrated into onward workflows. IDP seeks to overcome the inefficiencies and errors associated with manual processes, allowing organisations to make faster, better-informed decisions and accelerate document-based processes.
Aiming to serve the growing pool of organisations demanding IDP solutions, Xerox’s Capture and Content Services (CCS) division recently launched the EveryDoc IDP App, targeting SMBs and departments within large enterprises.
The EveryDoc IDP App is an intuitive, cloud-based solution designed to help customers achieve improvements and gain insight into unstructured data without requiring significant IT investment.
Simplicity is the key feature of EveryDoc IDP App, which leverages GenAI to extract, classify, and verify data from any type of structured or unstructured document – physical or digital. It offers human-in-the-loop options for output validation to increase customer comfort with intelligent automation.
Key features include:
- An intuitive interface: IDP workflows can be easily designed with a few clicks and the use of GenAI prompts, requiring minimal technical expertise. Xerox notes that it is simpler to use than no-code solutions and believes this provides a distinct advantage compared to competitor solutions.
- Pre-built IDP workflow templates for common use cases, such as extracting terms and pricing from contracts or invoices.
- Straightforward user management: Managers can configure workflows, Users can upload documents and see extraction results, and Validators are permitted only to validate documents where required.
- Easy integration with business applications via an advanced API, so extracted data can enter downstream workflows.
- Intelligent result verification: EveryDoc IDP App workflows can be set to require human verification for every output or to request it only if the accuracy confidence threshold falls below a user-defined percentage.
- Visibility and monitoring: The dashboard allows users to enable or disable workflows and see the quantity of documents processed.
- Security: All processed data remains on Xerox’s private cloud.
Xerox describes this solution as the next step up from manual, user-based workflows, adding automation, AI support, and intelligent analysis. Its advantage is that it can ingest from any system, such as email and SharePoint. It is a platform-level solution for customers who want to automate in-house, rather than outsource the entire process to a service such as Xerox BPO.
Currently, Xerox will deliver EveryDoc IDP App in conjunction with Professional Services support, which will handle the integration of extracted data into downstream systems. However, in line with its commitment to simplicity, it plans to enhance the product for customers to self-serve in future.
The company has a roadmap of planned additional features, but is focusing on adding these in a way that doesn’t create additional complexity.
Market opportunity and availability
EveryDoc IDP App has many applications across industry sectors and departments. Xerox points to the financial services, healthcare, retail, education, insurance, public sector, and legal verticals. It can add value in any application where data is entered and needs to be shared and integrated into onward processes. Examples include contracts, registrations, invoices, and medical and academic records. The solution is designed to support business units, departmental enterprises, and SMBs handling volumes of between 5,000 and 50,000 documents, although there is no upper limit. Customers will purchase credits to draw down against processed documents.
Xerox says it is introducing EveryDoc IDP App to all customers through MPS engagements and seeking to tell an integrated story encompassing MPS, Xerox Capture and Content Services, and Xerox Customer Engagement Services.
EveryDoc IDP App is currently available in North America and Canada in English and French user interfaces.
Quocirca opinion
Organisations with paper-based processes will see an immediate advantage in being able to capture data from scanned handwritten or printed documents and integrate it quickly and simply into business applications and automated processes. Currently, EveryDoc IDP App does not have a direct MFP extension, but Xerox MFPs scan to email and/or OneDrive, and the tool can pick up documents from these locations.
Xerox’s strong focus on simplicity is important in terms of its target market. Business users will be able to design workflows and manage users without heavy IT involvement, offering autonomy and flexibility while reducing investment risk.
EveryDoc IDP App aligns with Xerox’s focus on data-driven innovation, drawing on its expertise in RPA, data management, and AI to transform customer businesses.
