Event Terms and Conditions and Delegate Code of Conduct
Thank you for registering to attend our event. We look forward to welcoming you. Please take a moment to read through the following terms and conditions and code of conduct, which apply to all Attendees. Regardless of whether your registration is submitted by you or your proxy, the following terms and conditions apply to you and your participation in any Event
1. Definitions
“Attendee” means any individual registered to attend the event.
“Event” means the organised session or series of sessions you have registered to attend.
“Organiser” means Alumen Consulting Ltd (trading as Quocirca), the organiser of the Event.
“Venue” means the physical location at which the Event is held.
2. Bookings and Payment
2.1 Your booking is confirmed once payment is received and you have received a confirmation email.
2.2 Full payment must be made at the time of booking. Payment methods accepted will be detailed on the registration platform.
2.3 Attendee passes are non-transferable without prior written approval from the Organiser.
3. Event Changes, Cancellations and Substitutions
3.1 The Organiser reserves the right to make changes to the Event programme, speakers, venue, or timing at its discretion. In the unlikely event of cancellation of the Event by the Organiser, liability is limited to a full refund of any registration fees paid. The Organiser shall not be liable for any other loss, including travel or accommodation costs.
3.2 Cancellations must be made in writing to the Organiser. Refunds may be issued at the Organiser’s discretion, depending on timing and circumstance.
3.3 If you are unable to attend, you may nominate a substitute delegate at no extra cost, provided written notice is given at least 48 hours before the Event.
4. Attendance
4.1 All Attendees must comply with health and safety rules, venue policies, and lawful conduct requirements.
4.2 The Organiser reserves the right to refuse admission or remove any Attendee who fails to comply.
5. Photography and Media
5.1 The Event may be photographed, filmed or recorded. By attending, you consent to your likeness appearing in such materials.
5.2 If you do not wish to be photographed or filmed, please inform the Organiser prior to the Event.
6. Liability and Insurance
6.1 Nothing in these terms shall limit or exclude the Organiser’s liability for:
(a) death or personal injury caused by its negligence;
(b) fraud or fraudulent misrepresentation; or
(c) any other liability which cannot be lawfully limited or excluded.
6.2 Subject to clause 6.1, the Organiser shall not be liable to the Attendee for any indirect, special or consequential loss, or for any loss of profit, business, revenue, or anticipated savings, whether arising in contract, tort (including negligence), breach of statutory duty or otherwise, even if foreseeable.
6.3 The Organiser shall not be responsible for any loss, damage, delay, or failure in performance arising from or attributable to acts, events, omissions, or accidents beyond its reasonable control, including but not limited to venue unavailability, transport disruption, adverse weather conditions, public health emergencies, or actions of third parties.
6.4 The Organiser accepts no liability for the property of Attendees. Personal belongings brought to the Event are at the Attendee’s own risk and should not be left unattended.
6.5 The Attendee is responsible for arranging adequate insurance cover in connection with their attendance, including but not limited to travel, personal property, medical expenses, and cancellation cover.
6.6 Except as expressly set out in these terms, all warranties, conditions, and other terms implied by law are excluded to the fullest extent permitted by law.
6.7 Subject to clause 6.1, the Organiser’s total aggregate liability to the Attendee in connection with the Event shall not exceed the total amount of any fees paid by the Attendee for attendance at the Event.
7. Force Majeure
7.1 The Organiser shall not be liable for any delay or failure to perform due to events beyond their reasonable control, including natural disasters, strikes, pandemics, or governmental restrictions.
8. Delegate Code of Conduct
Please help us create a respectful, safe, and inclusive environment by adhering to the following:
(a) Be respectful, considerate and courteous to all participants and staff.
(b) Do not engage in any form of discrimination, harassment or offensive behaviour.
(c) Refrain from using the Event as a platform for unsolicited sales or marketing unless
authorised.
(d) Report any concerns or breaches of conduct to event staff promptly.
Any breach of the Code of Conduct may result in immediate removal from the Event (physically or virtually) and exclusion from future events. No refund will be provided in such circumstances.
9. Data Protection and Privacy
9.1 The Attendee acknowledges and agrees that their personal data will be processed by the Organiser in accordance with applicable data protection laws and Quocirca’s Privacy Policy, which is available at: https://www.quocirca.com/privacy-policy.
9.2 By registering for and attending the Event, the Attendee consents to the collection and use of their personal data as described in the Privacy Policy, including for the purposes of event administration, communications relating to the Event, and post-event follow-up.
10. Speakers
Views expressed by the speakers are their own and the Organiser accepts no liability for any loss, injury or damage, howsoever caused, to the bearer except where the loss, injury or damage is caused by the negligence of the Organiser, its employees or its agents.
11. Third-Party Services
The Organiser may facilitate access to third-party services or platforms as part of the Event experience. The Organiser is not responsible for the acts, omissions, or service standards of any such third party.
12. Intellectual Property
All materials distributed or made available during the Event are the intellectual property of the Organiser or relevant third parties. Attendees may not reproduce, distribute, or commercially exploit any such materials without the prior written consent of the rights holder.
13. Governing Law
These terms are governed by the laws of England and Wales and any disputes shall be subject to the exclusive jurisdiction of the English courts.
14. Amendments
The Organiser reserves the right to amend these terms at any time. Any such changes will be communicated via the Event registration page or email and shall take immediate effect unless otherwise specified.
