Vasion Intelligent Print Automation targets the print modernisation gap

Vasion’s Intelligent Print Automation introduces a new category, positioning print as a practical entry point for automation, data management and AI-enabled workflows. The release extends Vasion’s serverless print management platform with additional capabilities addressing established print management challenges, including automated driver management, ARM support, and cloud modernisation of legacy output management.
The print modernisation gap
Businesses are rapidly modernising IT infrastructure to pave the way for AI adoption, but print and its related workflows are often left behind. Quocirca research underlines this gap, finding that fewer than half (47%) of IT decision-makers plan investment in print infrastructure modernisation in 20261, and while 64% of IT decision-makers plan to invest in AI and 56% expect cloud computing spend to rise2, only a minority operate print management fully in the cloud today, with hybrid environments continuing to dominate. This suggests that print infrastructure is not yet keeping pace with broader cloud and AI transformation agendas.
Documents, as stores of business-critical data, are central to modern workflows, but many organisations are still working through the challenge of making physical and digital document output suitable for AI-enabled management. Quocirca’s Future of Document Capture Study 2025 found that, when asked whether their organisation is actively adapting data, including physical documents and digital output, to make it more suitable for AI management through consistent formatting, standards adherence and more forms-based structures, 35% said they had already done so, and a further 44% said they were in the process of doing so3. This indicates that almost four in five organisations are already taking steps to make document data more AI-ready.
This aligns with Quocirca research indicating that AI-centric intelligent document processing is viewed as a particularly valuable application of AI in document capture, with 63% of organisations planning to increase IDP investment. By simplifying the process of capturing, classifying and routing previously unstructured enterprise document data, Vasion aims to help businesses unlock its value for integration with AI, reduce the risk of data “going dark” in print workflows, and strengthen their overall data management posture.
File>Print: turning a familiar command to new uses
Quocirca sees the significance of this approach in its use of an established user action as a control point for document workflow automation. Print remains embedded in many business processes, so extending the File>Print action beyond output management offers a pragmatic route to digitisation that does not depend on users adopting a separate workflow interface. This is particularly relevant as AI adoption increases the need for organisations to capture, classify and structure document data at the point it is created, shared or routed.
The Vasion implementation builds on the familiarity of the File>Print command. Instead of using print solely to produce hard copy output or static PDFs, users are presented with options that can initiate multi-step digital workflows through Vasion Automate. These workflows can route documents to destinations such as approval queues, business departments, archive repositories or other automated processes, depending on policy and workflow design. The same entry point can also route documents to Vasion Sign, where they are prepared for certified eSignature workflows.
The release also includes automated archiving and compliance capabilities that generate full-text, indexable files and route them to secure long-term storage when required. This is important because documents created through print workflows can otherwise remain difficult to search, govern or reuse. Applying indexing, routing and retention controls at this stage can support audit requirements while making document data more accessible for analytics and AI-enabled processes.
Because Intelligent Print Automation is delivered within the existing Vasion platform, current customers should be able to evaluate and enable the capabilities without introducing a separate system. The use of the familiar File>Print workflow may also reduce training requirements and lower the risk of poor user adoption, although successful deployment will still depend on clear workflow design, governance policies and user communication.
Strategically, the release reflects a broader shift in print management from device and output administration towards document workflow orchestration. For organisations pursuing AI and automation programmes, the value will depend less on the print action itself and more on whether that action can impose structure, routing and governance on document data that would otherwise remain fragmented across unmanaged file systems, email attachments or ad hoc manual processes.
End-to-end document lifecycle automation
Building on the principle of controlling document data throughout its lifecycle, Vasion has unified its lifecycle management solutions into a centralised console. Vasion Sign, Vasion Forms, Vasion Workflow and IDP and Vasion Storage are all accessible in a single location. All can be tailored and managed using Vasion’s no-code workflow design interface, further lowering the barrier to automation deployment.
Quocirca sees this consolidation as important because document automation initiatives can be weakened when capture, forms, workflow, eSignature and storage functions are managed as separate projects. A centralised lifecycle approach gives organisations a clearer basis for applying consistent governance, retention and workflow rules across document processes. It also supports AI readiness by helping ensure that document data is captured and managed in a more structured and traceable way from creation through to storage.
Driverless printing for zero trust security
Quocirca’s MPS 2025 research shows why print infrastructure should remain a priority for modernisation. The top three print management challenges are controlling costs, cited by 41% of organisations, securing and managing printing across a hybrid workforce, cited by 38%, and the cost of purchasing and maintaining on-premise print servers, cited by 37%4. These findings underline why cloud-native, driverless and zero trust-aligned print architectures are becoming more relevant: they address cost control, security and server dependency at the same time.
Native IPP/S and Windows Protected Print support are included in this release, enabling printers to connect directly to devices while reducing reliance on traditional print drivers and print servers. This matters because legacy driver estates can increase administrative overhead, create compatibility issues and introduce security exposure, particularly in distributed and hybrid working environments. Vasion enables administrators to deploy driverless queues from the Admin Console and convert existing queues to IPP before enabling Windows Protected Print.
The extension of driverless IPP print automation and Off-Network Printing to ARM-based hardware is also relevant as commercial device estates diversify. It reduces dependence on OEM driver availability and supports more consistent print access for users working across office, home and mobile environments. From a zero trust perspective, the broader implication is that print can be managed with fewer persistent infrastructure dependencies and clearer policy control across endpoints.
Smart scanning
Quocirca’s Future of Document Capture Study 2025 shows that paper remains a material part of business processes, despite ongoing digitisation programmes. Only 14% of organisations describe themselves as fully paperless, while 78% are accelerating plans to remove paper from business processes. At the same time, 65% are increasing spend on MFPs with capture and workflow capabilities5. This means that scanning should not be viewed as a legacy requirement, but as a bridge between paper-dependent processes and more structured, automated and AI-ready document workflows.
Against this backdrop, Vasion’s new scanning features are relevant because they focus on simplifying document capture and routing rather than treating scanning as a standalone output function. Aligned with the File>Print capabilities of Intelligent Print Automation, document scans can initiate workflows such as IDP, approvals, archiving or integration with enterprise software, helping organisations move paper-based information into governed digital processes.
Alongside the features outlined above, Vasion has also released an output optimisation tool enabling faster analysis and fixes for output failures and smarter integration with business systems such as ERP. Through this feature, system-generated print and automated workflows can be triggered and managed in Vasion, without needing custom integration work.
Vasion has entered into new partnerships with Qualcomm Snapdragon to deliver cloud-native, driverless printing for Snapdragon-powered commercial devices, and ServiceNow to support IT Service Management.

Vasion’s latest release is well aligned with the market requirements Quocirca is seeing across print and document capture. Organisations are under pressure to reduce the cost and complexity of print infrastructure, secure print across hybrid work environments, remove paper from business processes and prepare document data for automation and AI. Intelligent Print Automation brings these requirements together by treating print and scan events not as isolated output tasks, but as potential entry points into governed digital workflows.
The combination of serverless print management, driverless IPP/S printing, Windows Protected Print, ARM support and off-network printing addresses several of the structural issues that continue to hold back print modernisation. It reduces dependence on on-premise print servers and legacy driver estates, while supporting more consistent policy control for users working across office, home and mobile environments. This is particularly relevant as organisations look to simplify infrastructure without weakening security or user access.
The capture and workflow elements are equally important. By linking familiar print and scan actions to document routing, IDP, eSignature, archiving and storage, Vasion is addressing the need to bring unstructured or semi-structured document data under clearer control. For customers, the significance is that intelligent print automation can support AI and digital transformation programmes without requiring every workflow to be redesigned from the ground up. The value will depend on execution, but the direction is consistent with Quocirca’s view that the future of print management lies in document workflow orchestration, not device administration alone.
